A printing ink in plain terms, is a semi-liquid material that is used for printing, it is an extremely useful computer peripheral.
The most common desktop printers are inkjet and laser printers. Inkjet printers use ink cartridges to precisely 'spray' liquid ink on the page, and Laser Printers use toner cartridges to 'fuse' toner powder to the page using heat. All printers use a black cartridge which is full of either black ink or black toner, and color printers also have color cartridges which use the three primary colors (cyan, magenta and yellow) to form all the colors of the rainbow. These colors are produced by the precise blending of the three primary colors on the printer page. In addition, some printers now have additional ink colors (usually called photo colors) which are used to make photographs more realistic. Some Ink Cartridges have all three primary colors in one color cartridge (the cartridge is divided into separate chambers so the colors don't mix before they are sprayed on the page), but most new ink jet printers, and all color laser printers have separate cartridges for each color.

Depending on the type of printer you’re using, you may see a notification on your screen to “replace ink” or “replace toner.” The two are not interchangeable.
Simply put, ink is liquid and toner is powder.
How to Replace Ink
There comes a time in every printer user’s life when the inevitable happens: you have to replace the ink cartridge. Maybe you start noticing that your printed text is no longer as crisp and black as it once was. Or your colour printer prints too light and the colours aren’t true to what you see on your monitor. Or, worse yet, you see lines and streaks across your page.
Don’t worry! We’ll walk through what to do when your printer runs out of ink—before your printer runs out of ink.
- Understand whether you’re replacing ink (inkjet printer) or toner (laser printer).
- Check your printer’s ink levels to be sure you need to replace your cartridge. You can use your printer’s touchscreen, or check from your PC or Mac.
- Have a replacement cartridge ready. Order your ink online.
- Replace your ink cartridge. Consult your user manual or use your printer’s touchscreen to see where your ink is located and how to swap it out.
Ink Levels
To be sure you need to replace your ink cartridge and that it’s not an unrelated printer error, test your ink levels. This can help cut back on wasted paper and wasted ink.
Most printers will issue a pop-up warning, letting you know that your ink levels are low. Your printer may be printing normally, but think of this notification as a “courtesy call,” to let you know you should have a new cartridge ready when you notice your print quality tapering off.

How to Tell if Your Ink Cartridge is Empty
Please be aware that some printers warn users a cartridge is empty when there is still a good quantity of ink left. This is a cautionary measure to help prevent damage to your printer’s printheads that can occur as a result of attempting to print with a dried-up cartridge. While you may still have some ink left, remember you can do more damage trying to wring the last bit of ink out of a cartridge than by prematurely replacing it with a fresh one.
Use Your Printer’s Touchscreen to Check Ink Levels
Many newer printers feature intuitive screens with animations that allow users to easily check ink levels, display where the printer’s ink cartridges are located, and show you how to change your ink cartridge.
If your printer doesn’t have this feature, don’t be shy about consulting the owner’s manual that may have come packaged with your printer. If you don’t have it handy, you can easily find a user’s manual online by searching for your printer’s brand and model.
In case you have an older model printer or one that doesn’t feature an on-printer menu screen that allows you to check ink levels, there are a few simple ways you can find out whether you need to replace your ink or not.
Checking Ink Levels From Your PC
If your printer is attached a PC and has the functionality to show ink levels, you can use the Windows Start Menu to find out how much ink you have left:
Start button → Start Menu → click on “Devices and Printers” → select your printer model
Your ink levels should appear in the status area at the bottom of the “Devices and Printers” screen.
Checking Ink Levels From Your Mac
If you use iOS instead of Windows, you can follow this path to check your ink levels:
Apple icon on menu bar → System Preferences → Printers and Scanners, Print & Fax, or Print & Scan → select your printer model → select “Options & Supplies” → select “Supply Levels” tab
When you purchased a printer for your office, it came with an instruction manual that indicated the type of ink the machine accepts. The manufacturer recommends certain types of ink because the incorrect kind can produce inferior printing results. In some cases, the wrong ink cartridge won't fit in the machine or the printer will refuse to accept it. Even if you misplaced your printer's manual, you can still find out the type of ink the machine needs.
How to Check What Type of Ink Your Printer Accepts
1. Read your printer's instruction manual, if you have it. The manual will usually tell you what kind of ink the printer requires.
2. Inspect the printer's packaging or the packaging of the latest ink cartridge you've purchased. The ink type is normally printed on both boxes.
3. Look for the ink reference card that came with your printer, if applicable. Some printer manufacturers, such as HP, put this card in the box with your printer.
4. Open the printer and allow the ink carrier to move to the center of the machine. Look at the product number printed on each cartridge. If you don't see a number on the top of a cartridge, remove it from the printer. Look for the number printed on a sticker on the side of the cartridge.
5. Determine your printer's make and model. If you don't have the documentation that came with the printer, inspect the machine for a model number printed on the bottom, back or side.
6. Go to your printer manufacturer's website and look up the machine's model number. Read the printer's description or documentation to find the type of ink it needs.
